This Privacy Policy explains how Top Job English collects, uses, stores, and, where necessary, shares personal data when you visit topjobenglish.ch or topjobenglish.com, use related booking or payment links, contact me, book a Meeting Diagnostic, pay for English language teaching/training, request an invoice, receive B2B outreach from me, or take part in 1:1 sessions.

Top Job English provides live teacher-led English language teaching and training for professional meeting performance and workplace communication.

This policy applies to topjobenglish.ch, topjobenglish.com, related booking or payment links used in connection with those websites, the booking process, payment process, preparation emails, invoicing where requested, B2B outreach where applicable, and client communication connected with that service.

I collect only the personal data needed to respond to enquiries, manage bookings, deliver the agreed teaching/training service, process payments, issue invoices where requested, send relevant B2B outreach where applicable, send and manage service-related emails, and run the website.

Depending on how you interact with Top Job English, this may include:

· your name, if you provide it

· your email address

· your mobile phone number, if you choose to provide it

· booking details, such as the date and time of a Meeting Diagnostic or session

· messages you send by email, through the website, through the booking system, or through other communication channels

· information you choose to share for session preparation or during sessions

Invoice details may include your billing name, billing address, tax identification number, company details, or other information needed to issue the invoice correctly.

The main student contact data I normally see are the email address you provide and, if you choose to provide it, your mobile phone number.

I do not ask for billing address or tax details unless they are needed to issue an invoice or comply with tax/accounting requirements. If you do not request an invoice, I do not normally need this information.

I do not receive or store your full card details. Card payments are processed by Stripe.

I may collect personal data when you:

· book or buy English language teaching/training sessions

Most personal data is provided directly by you.

Where B2B outreach is used, I may also receive limited professional contact information from professional sources, public business sources, professional networking platforms, company websites, or B2B contact-data providers.

I use personal data for the following purposes.

To respond to enquiries

If you contact Top Job English, I use your contact details and message content to reply.

Legal basis: legitimate interests, or steps prior to entering into a contract if your enquiry relates to booking English language teaching/training.

To manage bookings

If you book a Meeting Diagnostic or session, I use your email address, booking details, and any optional contact information to schedule, confirm, change, or cancel the session.

To deliver 1:1 teaching/training

If you become a client, I use your contact details, booking information, and relevant session communication to deliver the agreed teaching/training service.

To send preparation emails

I use Systeme.io to send service-related preparation emails connected with the Meeting Diagnostic or teaching/training programme.

These emails are part of the booking or service process. They are not general marketing newsletters unless you separately agree to receive marketing emails.

Where Systeme.io sends these emails, technical email records may be created, such as delivery, bounce, unsubscribe, open, or click information. I use this information only to send and manage service-related emails, maintain deliverability, troubleshoot email delivery, and administer the service.

Legal basis: performance of a contract, steps prior to entering into a contract, or legitimate interests in preparing and delivering the service.

To process payments and issue invoices

If you pay for English language teaching/training, Stripe processes the payment. I use payment confirmation and transaction information to manage the service, refunds, records, and accounting.

If you ask me to issue an invoice, I may ask for the billing details required to prepare that invoice, such as your billing name, address, tax identification number, or company details.

I use Zoho Invoice where needed to create and manage invoices.

I do not use invoice-related personal data for teaching/training or marketing purposes. I use it only where needed for invoicing, tax, accounting, legal, dispute, or administrative reasons.

To keep business and accounting records

I may keep invoices, payment records, and related correspondence where required for tax, accounting, legal, or administrative purposes.

To send relevant B2B outreach, where applicable

I may process limited professional contact information to contact relevant professionals or companies about Top Job English services.

This may include name, work email address, job title, company name, and professional profile information.

Where I have not collected the information directly from you, I use only limited professional contact information connected with your work role.

I use this information only for relevant business communication about Top Job English services. You can object to this processing or ask me to stop contacting you at any time.

If you ask me not to contact you again, I may keep limited suppression information to make sure I respect that request.

Where Systeme.io is used to send service-related preparation emails, Systeme.io may generate technical and engagement records connected with those emails, such as delivery, bounce, unsubscribe, open, or click information. I use these records only to send and manage service-related emails, maintain deliverability, troubleshoot email delivery, and administer the service. I do not use this information for behavioural advertising.

If I start using analytics, advertising, behavioural tracking, or other non-essential tracking technologies in the future, I will update this Privacy Policy and, where required, ask for consent.

Legal basis: legitimate interests or performance of a contract for strictly necessary and service-related functions; consent where required for non-essential cookies or tracking technologies.

  1. Service providers

I use third-party service providers to operate Top Job English, manage bookings, process payments, send preparation emails, manage business email, issue invoices where requested, administer the website and domain, deliver sessions, and manage B2B outreach where applicable.

Current provider categories and providers include:

· Systeme.io — website hosting and service-related preparation emails

· Acuity Scheduling / Squarespace — booking and scheduling

· Stripe — payment processing

· Zoho Invoice — invoicing, where a client requests an invoice

· Google — business email

· Squarespace — domain management and related domain administration

· Video conferencing tools, such as Microsoft Teams — online session delivery, where applicable

· B2B contact-data, email outreach, and email verification providers, where used — professional contact sourcing, outreach administration, unsubscribe/suppression handling, and data quality checks

These providers may process personal data only where necessary for the service they provide.

If I change service providers, I will update this Privacy Policy where the change materially affects how personal data is processed.

Some service providers may process or store personal data outside the European Economic Area.

Where personal data is transferred outside the EEA, I rely on appropriate transfer mechanisms made available by the relevant service provider, such as an adequacy decision, Standard Contractual Clauses, the EU-US Data Privacy Framework where applicable, or another safeguard recognised under data protection law.

· booking data is kept for as long as needed to manage the booking and related service records

· client communication is kept for as long as needed to deliver the agreed teaching/training service and manage the client relationship

· preparation email records, including related technical email records where generated, are kept for as long as needed to deliver the service, manage the client relationship, maintain deliverability, troubleshoot email delivery, or administer the service

· business outreach data is kept only for as long as needed for relevant business communication, suppression records, legal, dispute, or administrative reasons

· technical data is kept according to the settings and retention periods of the relevant website, booking, payment, email, or security tools

· payment, invoice, tax, and accounting records are kept where needed for Spanish tax, accounting, commercial-law, legal, dispute, or administrative reasons, generally for up to six years where applicable

In Spain, tax-related records are generally relevant for at least four years, and business/accounting records may need to be kept for up to six years under commercial-law retention rules.

I do not keep invoice-related personal data for teaching/training or marketing purposes. I keep it only where needed for invoicing, tax, accounting, legal, dispute, or administrative reasons.

I will delete or anonymise personal data when it is no longer needed, unless I need to keep it for legal, tax, accounting, dispute, security, suppression, or legitimate business reasons.

Top Job English may send service-related emails and, where applicable, limited B2B business communication. I do not send general newsletters or non-essential marketing emails unless you have agreed to receive them or there is another lawful basis for doing so.

Service-related emails, such as booking confirmations, preparation emails, payment information, invoice communication, session information, or replies to enquiries, are not treated as general marketing emails.

Where I send B2B outreach to a professional contact, you can object or ask me to stop contacting you at any time.

You can ask me to stop sending non-essential marketing or B2B communications at any time.

  1. Mobile phone numbers

You may choose to provide a mobile phone number when booking or contacting Top Job English.

If a mobile phone number is provided through the booking system or another communication channel, I may be able to see it. I do not use mobile phone numbers to contact students, clients, or prospects.

I do not use mobile phone numbers for calls, text messages, WhatsApp, marketing, or session communication.

Providing a mobile number is optional unless a specific booking tool requires it.

  1. Invoicing information

If you request an invoice, I may need billing information such as your billing name, billing address, tax identification number, company name, or other details required to issue the invoice correctly.

This information is used only for invoicing, payment administration, tax, accounting, legal, dispute, or administrative purposes.

I do not request this information unless it is needed for an invoice.

  1. Session content and information

During 1:1 sessions, you may choose to discuss your work, role, meetings, presentations, interviews, or professional communication needs.

I use this information only to prepare for and deliver the teaching/training service.

I treat session discussions as confidential. I do not share session content with others unless it is necessary to deliver or administer the service, comply with legal obligations, protect my rights, or you ask me to share it.

For company clients, where a company or organisation pays for services for a learner, I may share limited administrative information with the paying company. This may include whether sessions have been booked, attended, cancelled, missed, used, or remain available. I do not share detailed lesson content, personal learning notes, or sensitive feedback about the learner with the paying company unless this has been agreed with the learner or is necessary to administer the service, comply with legal obligations, or protect legal rights.

I do not record sessions. If this ever changes for a specific session, I will tell you in advance and explain the purpose, use, storage, and retention of the recording before any recording takes place.

You should avoid sharing confidential, sensitive, or unnecessary third-party information unless it is genuinely needed for the session.

  1. Special category data

Top Job English does not intentionally collect special category data, such as health data, political opinions, religious beliefs, trade union membership, biometric data, or similar sensitive information.

Please do not send sensitive personal data unless it is necessary and you are comfortable sharing it.

Top Job English is intended for adult professionals and managers.

The website and services are not directed at children.
